13.4 Corporate Budgeting – User Manual
Overview
The Corporate Budgeting feature in Yelowsoft allows taxi and dispatch companies to place limits on the number of trips or total spend a corporate client (or its employees) can incur within a specific period.
This is particularly useful for companies with agreed trip limits or expense caps during corporate onboarding.
Accessing the Budgeting Feature
- In the Admin Panel, navigate to Corporate List.
- Click on the corporate name to open the Corporate Details Screen.
- Click Edit Corporate Account.
- Locate the Budgeting toggle button and enable it.
Configuring the Budget
Once Budgeting is enabled, the admin can set the following:
1. Budgeting Type
- Company-Wise: One budget applies to the entire corporate account, covering all employees.
- Employee-Wise: Each employee is assigned an individual budget.
2. Budget Start Date
- Set the date from which the budget will be active.
- Often based on discussions with the corporate client.
3. Budget Duration
- Monthly: Budget resets every month.
- Weekly: Budget resets every week.
4. Budget Amount
- Define the total monetary limit allowed for the selected duration.
- Example: $2,000 monthly budget for the entire company, or $500 monthly per employee.
5. Budget Override Option
- Enabled: Allows trips to be booked even after the budget limit is reached.
- Disabled: Prevents any new bookings until the budget resets.
Employee-Wise Budgeting
If the Employee-Wise option is selected:
- Navigate to the Employee List under the corporate account.
- Edit the specific employee profile.
- Go to the Budget Tab.
- Assign the budget amount, start date, and duration for that employee.
Use Case:
- Frequent travelers can have higher limits.
- Less frequent travelers can have smaller budgets.
Budget History
- Once budgeting is enabled, the Budget History tab will show a log of all trips made under that budget, including:
- Employee name
- Trip amount
- Date and time of the trip
This ensures complete visibility and helps monitor usage.
