Overview

The Corporate Module in Yelowsoft is designed to streamline ride management for corporate clients, especially large organizations where employees frequently travel for business purposes. It replaces manual processes like reimbursements, trip tracking via spreadsheets, and invoicing with a fully automated, centralized solution.

  • Corporate Account Management: Register corporate clients with minimal company information.
  • Dedicated Corporate Panel: Corporate admins can log in, view employee trips, and book trips directly.
  • Booking Confirmation: Business trips can be approved by corporate authorizers before dispatching to drivers.
  • Custom Pricing: Each corporate account can have its own fare structure.
  • Invoice Automation: Weekly or monthly invoices are automatically generated and emailed to corporate clients.
  • Online Payment Integration: Pay invoices directly via Stripe within the corporate portal.

How It Works

1. Corporate Account Setup

  • From the Admin Panel, create a new corporate client profile with the required company information.
  • Assign a Corporate Admin login for the client to access their dedicated panel.

2. Booking Flow

  • Employees book a trip via the app and mark it as a Business Trip.
  • Trip requests are sent to the Corporate or Authorizer for approval (if enabled).
  • Once approved, the trip is dispatched to drivers.
  • Pricing can be hidden from employees if the corporation covers the full fare.

3. Purpose of Travel

  • Employees must specify the purpose of their trip at the time of booking (e.g., client visit, site inspection).

4. Automated Invoicing

  • Admins or corporate clients can set a recurring invoice schedule (weekly or monthly).
  • The system compiles completed trips within the date range, calculates totals, and emails the invoice.
  • Invoices are accessible under the Invoicing Section in the corporate panel.
  • Each invoice shows payment status (Paid/Unpaid) and includes a Pay Now button for instant payment via Stripe.

5. Payment Integration

  • Yelowsoft integrates with Stripe, allowing corporations to pay invoices directly from the platform.
  • Eliminates the need for separate manual payment processing.

6. Employee Authorization Grouping

  • Corporations can assign multiple authorizers, each managing a subset of employees.
  • Ensures better control and oversight.

7. Budgeting Feature

  • Allocate a fixed budget to each corporate client.
  • Once the budget is reached, no additional trips can be booked until it is reset.
